We are seeking an experienced and highly motivated HR Assistant to join our team for a fixed term period of a year. Your role will support the HR team in delivering a seamless service to Partners and employees across the firm. You will play a key role in delivering operational people services to the business to support the firm’s strategic aim to create a performance focused culture.

Key responsibilities include: 

  • Recruitment and Resourcing: drafting job descriptions; liaising with recruitment agencies; administration of job postings and circulation including filing and tracking applications, responding to applicants, and setting up interviews, drafting of offers and contracts and associated invoice administration.
  • Co-ordinate onboarding experiences and inductions.
  • Trainee Recruitment: updating application process on website; collate applications in preparation for selection and interviews; all law fair administration; co-ordination of summer student scheme; maintaining TCPD records; drafting law society paperwork in relation to the lifecycle of the traineeship.
  • Reward and Recognition: process invoices in relation to benefits; manage joiners and leavers on healthcare plans; advising employees on benefits; input to annual salary survey.
  • Performance Management: update review form when required; track returned performance reviews and file.
  • Talent Management: drafting of promotion letters and contracts; booking of relevant training for promotion candidates.
  • Learning and Development: co-ordinating and booking training and payment of invoices; send out feedback requests and collate results; assist in co-ordinating PEAT 2 training; update CPD tracker and HRIS.
  • Health and Wellbeing:  upload communications to the internet; assist in setting up health and wellbeing activities.
  • HR Processes and procedures: inputting data for new starts, changes, movers, promotions, leavers, mat leavers etc onto HRIS/Payroll system; processing of practising certificate renewal; drafting of correspondence relating to t&cs, i.e. mat leave, pat leave, flexible working; update and maintain HRIS; admin relating to new starts, leavers, and changes; reporting from HRIS.
  • Payroll: Inputting pay data accurately and efficiently
  • Any other ad-hoc duties

Skills and Experience

  • Strong interpersonal skills with the ability to build rapport and communicate positively and effectively.
  • Detail-orientated with a proactive and positive attitude.
  • Have excellent IT skills particularly with Microsoft Office applications and the ability to analyse data in support of business priorities.
  • Previous experience working in an administrative HR role.
  • Passion for people and their development.

We are seeking an experienced and highly motivated HR Advisor to join our team. Your role will support the HR team in delivering a seamless service to Partners and employees across the firm.   • Recruitment and Resourcing: liaising with recruitment agencies; assessing applications and shortlist for interview; finalise job descriptions; liaise with key recruitment agencies on salary bands.
  • Trainee Recruitment: co-ordinate interviews; co-ordinate induction; meet with trainees on a quarterly basis.
  • Reward and Recognition: research alternative benefits and recommend changes; process pension; input annual review info onto payroll and circulate letters.
  • Performance Management: carry out technical staff reviews.
  • Talent Management: advise on career paths and promotion criteria.
  • Learning and Development: co-ordination of PEAT 2 training, ensuring LSS requirements met.
  • Health and Wellbeing: co-ordinate the promotion of health and wellbeing initiatives.
  • HR Processes and procedures: update policies; carry out flexible working meetings; carry out return to work interviews; carry out and report on exit interviews; process or input monthly payroll.
  • Payroll: review and sign off monthly changes; send reports for updating nominal accounts; liaising with HMRC.
  • Any other ad-hoc duties

Skills and Experience

  • Strong interpersonal skills with the ability to build rapport and communicate positively and effectively.
  • Detail-orientated with a proactive and positive attitude to problem solving.
  • Have excellent IT skills particularly with Microsoft Office applications and the ability to analyse data in support of business priorities.

Legal Enquiries Assistant – Permanent – Glasgow Office

Salary: £23,353.92 - £24,815.18 (depending on experience)

We invite you to join our Thompsons Community and work within our Legal Enquiries Team assisting with all new business enquiries. This is a rewarding role as you will be the first point of contact for our clients who are looking for assistance in helping them through what can be a difficult time.

PRINCIPAL DUTIES AND RESPONSIBILITIES

DUTIES 

  • Use of the firm’s case management systems in accordance with set procedures
  • Dealing with inbound and outbound calls.
  • Provide excellent customer service when interacting with clients or other departments.
  • Be able to work under pressure and adhere to strict deadlines.
  • Enter and maintain accurate data in databases and systems.
  • Maintain our case management records ensuring completeness and accuracy.
  • Communicate effectively with internal teams.
  • Coordinate with clients to gather necessary information.
  • Identify and address any discrepancies or issues promptly.
  • Collaborate with team members to resolve challenges efficiently.
  • Respond to enquiries in a professional and timely manner.
  • Any other duties which will support the New Business team when requested.

KEY SKILLS 

  • Good customer service skills.
  • Excellent telephone skills.
  • Has experience in data entry.
  • Can communicate well with colleagues and external clients both verbally and written.
  • Ability to prioritise own workload and work in a fast-paced environment.
  • High quality and accuracy levels.

CORE HOURS

34.5 hours per week plus 2 hours 15 minutes additional overtime (one late night finish per week of 7pm)

8.45am - 4.45pm, Monday - Thursday.

8.45am - 4.15pm on a Friday.

HYBRID WORKING

To begin with, the successful candidate will be based in our Glasgow office full time for a minimum of 6-8 weeks for training. Once training is complete, the applicant can move to hybrid working if preferred and would be allowed to work from home two days per week (subject to business needs).
